Follow Up: Weekly Tenant Update (COVID-19) – 4.24.20
 
Good Afternoon Tenants,
 
I hope everyone is doing well and I appreciate those that have reached out and I want to provide some additional clarification to the PPE which was referenced in my e-mail last Friday. Yes given the current environment to operate our buildings in a safe and responsible manner we are asking that tenants take measures to wear face mask while in the building common areas. Below are a few questions we have received and our response.
 
What are the Common Areas?
  • Common Areas include lobbies, hallways, elevators, restrooms, & stairwells.
 
Do I need to wear a mask in my own space?
  • No this is not a requirement per building management, if required it will be at the discretion of each individual tenant’s protocol.
 
What if we lease an entire floor, do we have to wear mask for those restrooms?
  • This is technically part of your leased space and will be at the discretion of the individual tenant.
 
Will mask be provided by the Landlord?
  • No unfortunately the responsibility to acquire a mask will be the tenants. We are working with a few vendors to see if they would be able to provide.
 
Do they have to be N-95 mask?
  • No this is not a requirement we are just asking that baseline measures are taken to protect individuals and tenant’s of the building. Cloth mask, cotton mask, handkerchief mask, scarfs, etc. will be acceptable.
 
When will this take effect?
  • We understand it will take some time to get rolled out but our goal would be to try and have measures in place when the Stay at Home order lifts which is currently May 8th, 2020.
   
We are also is the process in putting together additional protocol as tenant’s look to return to the office and will be sharing that over the upcoming week/weeks.

Good Afternoon Tenants, 
  
The focus of this week’s building management update is what we need from you as we formulate building specific ‘Return to Work’ plans. Yesterday, Governor Cooper extended the North Carolina stay-at-home order until May 8, 2020. We have heard from some tenants who are making plans or considering the logistical implications involved with their return to the building once the order is lifted. If you are making those arrangements with your employees or have any questions about building operations needed to support your efforts, this is what we need from you: 
 
COMMUNICATION 
Most importantly, we need you to communicate your plan to return. Please let us know when you expect employees will return to your premises -- how many will be returning and your return timeline as you see it today. We understand your staffing plans may evolve through each opening phase, but any information you can share immediately will be helpful. 
 
PROTECTION 
New building guidelines will require anyone moving in and around the common areas to wear Personal Protection Equipment (PPE) which will include face masks, as a minimum. This is for the protection of all occupants of the building. Please plan accordingly to obtain the appropriate equipment for your employees. 
 
CLEANING 
Will you be requiring additional cleaning within your premises? If so, please contact Building Management and we can provide pricing and scheduling for this work. 
 
SOCIAL DISTANCING 
We are asking all tenants and vendors to practice social distancing by staying at least 6 feet from other people when possible. We will be working through the logistics of building entry / exit, elevator access, and other common space distancing in the upcoming week. New building specific guidelines will be communicated to tenants as opening Phases are rolled out by the governing authorities. 
 
STAY AT HOME 
Respectfully, we ask that you instruct any employee that isn’t feeing well to stay home. 
 
We appreciate your partnership as we continue to navigate these ever-changing times. This is a fluid situation which may require us to revisit our plans in the coming weeks. We will continue to update you as we receive additional direction from local and state authorities. We ask that you do the same with us.

Weekly Tenant Update (COVID-19) – 4.17.20
 
Good Afternoon Tenants,
 
To maintain open, consistent communication and keep you connected to your offices, the Trinity Partners Property Management team is continuing to send weekly updates every Friday afternoon as we monitor and manage COVID 19 and its effect on our tenant community and workspaces.
 
We are now wrapping up week five and we continue to operate all the buildings with normal business hours for the convenience of your essential employees.
 
Following this week’s severe inclement weather, we would like to note that it is helpful to have an essential person assigned by each tenant to routinely check your leased premises. Some of the managed properties in our portfolio experienced damage due to the high winds and heavy rains early Monday morning. In general, we advise tenants to regularly check on your leased space and report any concerns you might experience, such as a leaky window or stained ceiling tile. In the event you are not able to visit your premises, please contact us and we will make every effort to assist with those detailed inspections.

As a continued reminder, please notify us immediately if you receive a suspected case of COVID 19 among your onsite employee base, especially if that employee has been at the building this week. We will share any confirmed cases with you as they are reported. Should you have a confirmed case, please note the CDC now recommends all personnel refrain from accessing an infected area for seven days. We are also able to assist with disinfecting your premises should you report a confirmed case.
 
Finally, we have heard from some tenants who are making plans or considering logistical implications involved with their return to the building. If you are making those arrangements with your employees or have any questions about building operations needed to support your return, please keep our team informed. We are diligently maintaining the cleanliness of the building and will be reviewing our social distancing policies over the next few weeks as we better understand our tenants’ plans and timelines to return to their leased premises.

Weekly Tenant Update (COVID-19) – 4.3.20
 
Good Afternoon Tenants,
 
To maintain open, consistent communication and keep you connected to your offices, the Trinity Partners Property Management team is continuing to send weekly updates every Friday afternoon as we continue monitoring and managing COVID 19 and its effect on our tenant community and workspaces.
 
Is it fair to say, TGIF?  We have now completed three weeks of remote management of your properties.  We continue to operate all the buildings with normal business hours for the convenience of your essential employees.
Our janitorial service companies continue to shift their focus from night cleaning to detail cleaning and disinfecting. All other supplies are normal and adequate, and we do not foresee any upcoming supply issues.
 
We appreciate your patience as we prioritize work orders based on access and staff availability. Please reach out to the management office directly if you have an emergency that requires immediate attention. Otherwise, using your normal work order request protocol remains the best, most efficient way to connect with us.
 
While there are significantly fewer employees and service providers on site, we do ask you to continue practicing the recommended social distancing (at least six feet from another person) and hand washing protocols.
 
Additionally, we sent new communication earlier this week asking that you notify us immediately if you receive a suspected case of COVID 19 among your onsite employee base, especially if that employee has been at the building this week. Because testing is slow and sometimes difficult to access, we would like to take every precaution possible. We will share any confirmed cases with you as they are reported.  Fortunately, we have had very few reported incidents across our portfolio due to reduced building populations.
