Weekly Tenant Update (COVID-19) – 5.29.20
 
Dear Tenants,

Happy Friday!  We hope you find these weekly communications helpful as you continue to plan for your “Return to Office.” We are hearing from more and more of you that you will be slowly returning to the office.  In light of that information, we want to continue to reiterate the actions that we have taken to make the building safe and ready for your return.

Additional HVAC system cleaning and sanitizing have been completed.  As occupancy increases and weather permits, we will run HVAC systems longer in the mornings and evenings to ensure the most outside air is being circulated.   Cleaning staff are continuing to work diligently to deep clean all common areas including restrooms and stairwells.
 
The installation of directional signage to help encourage social distancing in all common areas has been completed.  As you and your guests enter the building, please adhere to the new traffic flows and practice social distancing.  Masks will be required when moving about the common areas.  Employees can direct their employees differently within their own premises.  
  • When possible, we have included signage to designate stairwells to either be for ascending traffic or descending.  This will reduce any cross traffic when employees choose to use the stairwells.
  • Elevators will have signage requiring reduced occupancy levels. 
 
We also ask those who have been exposed within the past 14 days refrain from entering the building.  This is also the instruction for anyone not feeling well or running a temperature.
 
Our janitorial service company continues to maintain the common areas by regularly wiping and disinfecting.  This disinfection will continue and increase when building populations also increase. We also welcome you to contact us about additional cleaning you might need within your office space.  We are happy to arrange those services as needed.
 
As always, please keep us posted on your RTO plans.  We want everyone to feel safe and welcome as they return to the office and appreciate your assistance in getting back to the workplace.

Dear Tenants,
 
As we like to do each week, we are reaching out to touch base before the weekend to provide a building update. As we look forward to the holiday weekend, we are focusing on the importance of the workplace community. We appreciate all of you and the staff who serve our sites and would like to recognize some of the kind gestures that tenants have extended to our essential workers over the past few weeks. 
 
At one Trinity Partners managed building, a tenant honored the birthday of one of the security guards by decorating the main desk in celebration. At another property, a tenant requested a listing of the janitorial employees so they could reach out directly and express their thanks for all the hard work being done on site. We are grateful for your appreciation!
 
As we continue to make plans for returning to the office, we ask that everyone do their part by wearing masks and social distancing while at the building. We know this is a new way of operating and we appreciate everyone’s effort in managing our ‘new normal’.  As a reminder, masks are there to protect others and not something we should take lightly.  Reducing the virus spread is everyone’s way of protecting our front-line workers.

Dear Tenants,
 
Today marks eight weeks since we started our weekly COVID communication. When we first started this communication, it was to notify you of all the changing processes and procedures at your building.  We now have a clearer picture of how the buildings will operate for the foreseeable future in relation to social distancing.  We hope you find this helpful as you continue to plan for your “Return to Office.”

Next week we will start installing directional signage to help encourage social distancing in all common areas.  We request that all building occupants adhere to the new traffic flows and practice social distancing.  Masks will be required when moving about the common areas.  Employees can direct their employees differently within their own premises.   
  • Building entrance doors are designated as entry/exit only.   
  • When possible, we have included signage to designate stairwells to either be for ascending traffic or descending.  This will reduce any cross traffic when employees choose to use the stairwells.
  •  Elevators will have signage requiring reduced occupancy levels.  
 
We also ask those who have been exposed within the past 14 days refrain from entering the building.  This is also the instruction for anyone not feeling well or running a temperature.
 
As your organization continues to plan for returning to the office, please be reminded to communicate the specifics to building management.  Understanding how many employees will be returning and the return timeline as you see it today will ensure that cleaning protocols are updated, HVAC system and lighting schedules are also updated will allow us to make any changes to the common area circulation.
 
As we receive additional direction from local and state authorities we will update you on any changes to building processes and procedures.

Weekly Tenant Update (COVID-19) – 5.8.20
 
Dear Tenants,
 
Today marks the first day of North Carolina’s Stay-At-Home order transition with the implementation of Phase 1 to slowly ease certain restrictions. Per the Governor’s office:
“COVID-19 is still a serious threat to our state, and Phase 1 is designed to be a limited easing of restrictions that can boost parts of our economy while keeping important safety rules in place... This is a careful and deliberate first step, guided by the data, and North Carolinians still must use caution while this virus is circulating.”
“We must continue to protect our families and neighbors as we take this cautious step forward. When you leave your home, follow the three W’s: Wear a face covering, wash your hands, and wait six feet apart,” said Dr. Mandy Cohen, Secretary of the NC Department of Health and Human Services. 
Please note the building remains accessible to all tenants during this time, and we are available to assist you as you work through your “Return to Office” planning.
 
If you have not already done so, please be reminded to communicate your plan to return. We will need to know when you expect employees to return to your premises -- how many will be returning, and the return timeline as you see it today. If you are planning staggered hours to limit occupancy, it will be helpful for us to review that plan so we can schedule cleaning appropriately and understand general building populations and circulation.
 
As an additional reminder, we will be asking all employees, their guests, and contractors to wear protective masks when entering and exiting the building and in the building common areas. Please communicate this requirement and plan accordingly for your staff. Instructional signage will be posted throughout the building common areas as a guide upon your return.
 
Respectfully, we ask that you instruct any employee that isn’t feeling well to stay home.
 
We will continue to update you as we receive additional direction from local and state authorities. We ask that you do the same with us.
